The Quarry Connections – Attendance Policy

Policy & Purpose
The following policy will govern the attendance of members of The Quarry Connection. The purpose of
our attendance policy is to ensure a productive and cohesive networking environment by establishing

reasonable attendance expectations. Our policy allows for a maximum of three absences within a six-
month rolling period. This balanced approach recognizes the importance of active participation while

respecting the diverse commitment of our members. By maintaining attendance within these guidelines,
we aim to uphold the high standards of collaboration, mutual support, and professional development
that define our group. Your dedication to this policy allows us to maintain a reliable and vibrant
networking community.
UNABLE to attend a meeting;
If you are unable to attend a weekly meeting, it is your responsibility to coordinate a substitute to
represent you in the meeting. Or, utilize our media tool – “ZOOM” to make your presence during the
meeting.
• Substitute
o Someone you make prior arrangements before the meeting to represent you during that
weekly meeting.
o This can be a family member, co-worker, friend, or colleague.
o Be sure this person is fit to represent you in a professional manner for the group.
o Be sure to educate/prepare any sub attending to what their role and expectations are
during that meeting.
o Upon their first visit, may have the opportunity to briefly introduce themselves and their
business to the group.

• “Zoom Call”
o This is a tool in the event you are unable to attend or have a Sub represent you.
o You must be actively involved within the meeting while on “Zoom”
â–ª Video & Sound on and present during entire meeting.
â–ª None, or Limited distractions during the call.
â–ª To be engaged within the meeting as if you were in the room with the group.
â–ª Every 3
rd
Zoom Call result in an unexcused absence. “Zoom” is permitted as an
option 2 times within a rolling 6-month period. Any Zoom attendance exceeding
2x/rolling 6mo will result in an unexcused absence.

• Request for Excused Absence
o If you are unable to attend a meeting (or multiple meetings) due to medical or personal
events, please be in close communication with your Leadership Committee to address
concerns and formulate an appropriate plan.

For all members, absences that exceed 3 weekly meetings within a six-month rolling average time period
will result in resignation from the group immediately. These include; No Show, No Substitute, No Zoom
or No communication to the Leadership Committee for a request for an excused absence.
There are tools and resources in place to utilize if you are unable to attend a meeting. It is your
responsibility to make sure there is a means of representation of yourself present at every meeting.

The Quarry Connections – Visitor Policy

We want to encourage all visitors to be a part of our group whenever we have the pleasure
of them joining us. Visitors will be granted 60 seconds to give a commercial after all member
commercials are completed. Please inform your guests of the policy and urge them to be prepared
not to go over the 60 seconds.

The Quarry Connections – Substitute Policy

The role of the substitute is to represent the member of the group they are subbing
for. They will be afforded the time to give their substitute commercial in line with the member
commercials. When all member commercials are complete, we will come back to the substitutes,
if they wish. They may re-intro themselves in the style of the Chamber Meetings, taking 10 to 15
seconds for a brief statement. It is your job to inform your subs of this and make sure they are
prepared not to go over the allotted time.
